Short answer

In Clinizy Care, open Procurement. To remove damaged, expired or miscounted units, press Write off stock, choose the batch and quantity, and give a reason. To send goods back to a supplier, press Purchase return, choose the receipt and batch, and give a reason. Both are saved with a record.

Before you start

  • Know the medicine, the batch and how many units to remove.
  • Know why: damage, expiry, a miscount or a return to the supplier.
  • For a return, have the supplier’s goods receipt in mind. It must still have a balance due.

Steps

  1. Open any Pharmacy page, then choose Procurement in the tab bar at the top.

Tip:Admins open Pharmacy from the left menu. Pharmacists can use Point of Sale.

  2. Press Write off stock to remove damaged, expired or miscounted units.

The Procurement tab with the Write off stock and Purchase return buttons highlighted.
    Step 2 of 7
  3. Search for the medicine and choose it, then choose the batch and enter the quantity to remove.

    Tip:Expired batches are listed too.

Careful:You cannot remove more than the batch holds.

  4. Choose the reason type and write a short reason. The reason is required.

The Write off / adjust stock window with the medicine, batch, quantity and reason filled in.
    Step 4 of 7
  5. Press Write off stock in the window to save. The batch quantity goes down and a record is kept.

  6. Press Purchase return when you are sending goods back to a supplier.

  7. Choose the supplier, the goods receipt and the batch, enter the quantity and a reason, then press Record return.

The Purchase return window with the supplier, goods receipt, batch, quantity and reason filled in.
    Step 7 of 7

Tip:The return lowers what you owe on that receipt.

Careful:You can only return against a receipt that still has a balance due.

If something goes wrong

How do I fix a wrong stock count?

Open Inventory, open the medicine and press Edit batch on the batch. Change the quantity and press Save Changes. This is a manual correction, so it does not record a sale or a purchase.

Is a write-off recorded?

Yes. Every write-off keeps a permanent record with its reason, and the batch quantity goes down at once. Check the batch and quantity before you save.

What does a purchase return do?

It removes the returned units from your stock and lowers the balance due on that goods receipt.
