Keep your books and accounts
- Admin and clinic owner
Short answer
In Clinizy Care, open Accounts. Set your opening stock in Books setup and add your bank account once. Then add expenses, collect udhaar and pay supplier bills as they fall due. Upload the bank statement to reconcile, and download the CA pack from Reports & CA whenever your accountant asks.
Before you start
- Your bank account’s balance on the day you start, and your stock value at cost.
- Sales, purchases and payments you already record in Clinizy flow into the books on their own.
Steps
Open Accounts from the left menu. Overview shows cash and bank, udhaar, bills to pay and this month’s profit.
Press Books setup. Enter the start date and your stock value, or press Use today’s shelf value.
Tip:Switch on TDS on purchases only if your turnover last year was above ₹10 crore.
Go to Cash & bank and press Add cash / bank account. Enter the opening balance and tick UPI and card if those sales land there.
Press Add expense for rent, salary, stationery or any bill. Mark it paid, or on credit with a due date.
Find credit sales from the counter in Udhaar (to collect). Press Receive payment when the customer pays.
Tip:Use Remind to send the customer a polite WhatsApp reminder.
Open To pay and press Pay on a supplier bill. Any TDS due is worked out for you.
Tip:The owner gets one WhatsApp each morning when bills fall due in the next 3 days.
Press Reconcile with statement and upload the statement from net banking. Most lines match on their own; match or ignore the rest.
Careful:Book a bank charge or interest as an expense or other income first, then match it.
Open Reports & CA for profit and loss, balance sheet, trial balance and ledgers. Press CA pack (Excel) for your accountant.
If something goes wrong
Do I have to enter sales and purchases again?
No. The books are built from the bills, purchase bills, payments and returns you already record. You only add expenses, money entries and bank accounts.
When is TDS on purchases deducted?
Only when your turnover last year was above ₹10 crore. Then 0.1% applies on purchases above ₹50 lakh from one supplier in a year, or 5% if the supplier has no PAN.
How do I keep a backup on my computer?
Press the backup button at the top of Accounts. It downloads all your clinic data as one Excel file. The page reminds you until today’s backup is taken.
